As Office Manager with preparatory accounting and contract preparation, you are the heart of our office. You will ensure smooth administrative processes, support the accounting department and be responsible for drawing up and managing contracts. You will make a significant contribution to the efficiency and effectiveness of our internal processes.
Office organization and administration:
Organization and management of the daily office routine
Coordination of appointments and meetings
Supporting the switchboard and processing incoming mail and e-mails
Support of the management:
Preparation of presentations, reports and other documents
Travel planning and organization for the management team
Support with the organization of company events and meetings
Preparatory accounting:
Entry and management of incoming and outgoing invoices
Reconciliation of accounts and maintenance of accounts receivable and accounts payable
Support in the preparation of monthly, quarterly and annual financial statements
Cooperation with the external tax consultant and support in the preparation of tax returns
Contract creation and management:
Preparation and processing of contracts in consultation with the management and the responsible specialist departments
Review and maintenance of existing contracts
Ensuring compliance with legal and internal guidelines when drawing up contracts
Management of the contract database and deadline control
Requirements:
Completed commercial training or a comparable qualification
Several years of professional experience in office management, preparatory accounting and contract preparation
Confident handling of MS Office and common accounting software (DATEV)
Strong organizational skills and a structured way of working
High sense of responsibility and reliability
Strong communication skills and ability to work in a team
Good written and spoken German and English skills
